Job Description

**Job Title: Virtual Bookkeeper / Accounting Assistant (Property Management)**

**Location:** Fully Remote (Philippines-based preferred)

**Employment Type:** Full-Time (40 hrs/week) or Part-Time to start

**Compensation:** $900–$1,600 USD/month (based on experience; negotiable after trial)

**Reports To:** Company Owner (with monthly US CPA oversight)

**Company Overview**

New Braunfels, TX-based property management company overseeing ~750 single-family rentals. We use **Rentvine** for all property-level accounting (tenant ledgers, security deposits, vendor bills, owner disbursements, trust accounting, 3-way reconciliations). **QuickBooks** is used only for our management company’s operating accounts (fee income, overhead, US payroll, petty cash, Wise payments). We need a reliable virtual bookkeeper to handle daily processing, monthly reconciliations, and clean financial prep for our US CPA to manage taxes and compliance.

**Key Responsibilities**

**Daily / Ongoing Duties**

* **Rentvine (Primary – ~80% of time):**
* Enter/categorize tenant payments, late fees, damages; apply to correct ledgers/properties.
* Record property vendor invoices; allocate to units/properties.
* Handle move-in/move-out: prorations, security deposits, final statements/refunds.
* Upload/attach receipts and documents.
* Monitor diagnostics for mismatches or issues; flag immediately.
* Track deposits, EFTs, and disbursements.
* **QuickBooks (Company Operating – ~20% of time):**
* Record management fee income from Rentvine CSV import.
* Enter/categorize operating expenses.
* Process US payroll runs (QB Payroll module).
* Pay international VAs/vendors via Wise.
* Reconcile petty cash with receipts.
* **Shared:**
* Attach supporting docs; monitor bank feeds/dashboards.
* Proactively communicate flags or questions.

**Monthly Duties**

* **Rentvine:**
* Perform 3-way bank reconciliations on trust/operating accounts (full tie-out).
* Complete month-end closeout: post fees, clear items.
* Generate/verify owner statements & bulk disbursements.
* Export management fees to CSV for QB.
* Produce reports: owner summaries, rent rolls, aging AR/AP, security deposits.
* **QuickBooks:**
* Reconcile operating bank/credit card accounts.
* Import Rentvine fees; close month.
* Generate P&L, balance sheet, cash flow.
* **CPA Support:**
* Deliver monthly packet: reconciliations, reports, 1099 data.
* Assist with historical/back-tax requests.
* Maintain TREC-compliant records.

**Initial Cleanup Phase (First 1–3 Months)**

* Reconcile historical trust accounts in Rentvine (3-way).
* Catch up QB operating reconciliations & fee imports.
* Verify chart of accounts alignment.
* Reconcile past security deposits/owner reserves.
* Document discrepancies for CPA.

**Qualifications**

**Must-Have:**

* 3+ years bookkeeping, with **Rentvine** (or similar PMS: AppFolio/Buildium) experience.
* Strong **QuickBooks** proficiency (reconciliations, payroll, imports).
* Experience with trust accounting & 3-way reconciliations.
* Fluent English; excellent detail & organization.
* Stable internet/setup; independent worker.

**Preferred:**

* Wise payment experience.
* US property management references.
* QuickBooks certification.
